SUMMARY OF DUTIES

Under direct supervision, performs routine clerical or other office type work and may regularly have contact with customers either verbally or in writing.  These include service applications, service request, collection policies, inquiries and complaints regarding Billing & Collections. Provide coaching and supports other co-workers in their duties as required.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • generate basic form letters
  • complete general filing
  • distributes reports, bills and other departmental correspondence
  • enter time for payroll
  • update unrestricted system transactions
  • issue and update field orders associated with inaccessible meters, seals-in-error and other situations encountered through billing and collection work
  • make outbound telephone collection calls
  • enter credit extensions within parameters
  • verify system computation for residential and small commercial customers’ bills for accuracy
  • investigate and adjust accounts associated with outstanding balances
  • review and adjust exception accounts to make routine corrections
  • prepares routine reports, statements and letters
  • issue billing adjustments to correct meter readings and exceptions
  • investigate and correct field order exceptions
  • process customer payments, including Lifeline Processing (electronic third party)
  • sort and distribute special handling accounts
  • process applications associated with medical life support customers
  • waive deposits associated with residential credit reference letters
  • estimate accounts when necessary (non-power billing accounts)
  • generate duplicate and corrected bills to customers when appropriate
  • organize and maintain records for archive storage
  • monitor and order billing and credit related supplies
  • during emergency situations may be required to assist other Customer Care areas as needs of service dictate
  • store and destroy confidential records in accordance with appropriate regulations to ensure compliance

Qualifications

Required:

  • High school or vocational school graduate.
  • Experience demonstrating skill providing customer service.
  • Experience demonstrating skill performing clerical duties (for example, filing, distributing reports, organizing records for archive storage, maintaining billing records).
  • Experience demonstrating skill making outbound collection calls.
  • Experience demonstrating skill gathering and analyzing account information in order to resolve customer inquiries and complaints.
  • Experience demonstrating skill using a customer information system.
  • Experience demonstrating skill communicating with others verbally and in writing.
  • Experience demonstrating skill performing basic arithmetic (specifically, addition, subtraction, multiplication, division, percentages, averages and rates).
  • Experience demonstrating skill using the basic functions of PC-based word processing software (for example, creating form letters). Experience demonstrating skill performing data entry and/or basic calculations in PC-based spreadsheet software.
  • Experience demonstrating skill using email software.
  • Ability and willingness to lift mail bins or boxes of materials on occasion as well as walking around the building to deliver mail accurately.
  • Ability and willingness to work overtime and/or work during emergencies with little notice as required. Ability and willingness to maintain confidential information (for example, customer records).
  • Ability and willingness to input data into the computer for extended periods of time.
  • Must successfully pass Criminal History Records Check.
  • Must successfully pass a qualification test.
