Job Summary:

Provide administrative support for Energy and Comfort Sales Division including HVAC/Plumbing Sales, Home Improvement Sales, Electrical Sales and Commercial.   

 

Primary Duties and Responsibilities: (Essential Job Function)

  1. Copy and distribution of job packet information for new contracts and completions.
  2. Data entry of new sales in related Microsoft CRM and Great Plains systems.  Includes customer account creation, purchase order creation, rebate processing, warranty processing as needed.
  3. Distribute opportunities to E & C consultants and update opportunities accordingly in CRM.
  4. Provide opportunity distribution support after normal business office hours.
  5. Support team leader with spreadsheet data input and reporting for various ongoing projects.  Must have good working knowledge of Excel.
  6. Preparation and compiling data from Microsoft CRM and Great Plains in absence of Administrative Assistant.
  7. Maintains filing of job packets, installation packets and other various related paperwork.
  8. Answer telephone inquiries from customers, sales and operations.
  9. Data entry of extended warranty applications in various outside vendor websites, verification of acceptance and credit issued if applicable.
  10. Data entry of rebates in outside vendor website.  Follow up with customers as requested.
  11. Other responsibilities as may be required and assigned.

 

Knowledge:

  1. Must demonstrate good working knowledge of PC skills (Microsoft Excel/Word for Windows)
  2. Excellent customer service.
  3. Strong written and oral communication skills and the ability to handle confidential and sensitive information.

Skills/Abilities:

  1. Ability to communicate effectively with all levels of staff and management
  2. Ability to handle multiple tasks in a fast-paced environment and meet deadlines consistently.
  3. Able to work in a team environment.
  4. Able to work independently and handle multiple tasks accurately.

 

Education/Experience:

High School graduate with a minimum of one-year complex clerical work experience, or equivalent combination of formal education/training and experience.
